1. Cancellation Policy

1.1 The 20% deposit is non-refundable under all circumstances, including illness, change of plans, or visa/travel issues.

1.2 If you cancel:

More than 30 days before the retreat start date — the balance paid (excluding the deposit) will be refunded.
Within 10 days of the retreat start date — no refund will be given on any payment made, including the balance.
1.3 Cancellations must be submitted in writing by email to alex@villacallian.com. The cancellation date is the date the email is received.

1.4 We strongly recommend that all guests take out comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, and repatriation. This is a condition of booking.

1.5 If we are forced to cancel the retreat (e.g. due to insufficient numbers, facilitator illness, or circumstances beyond our control), guests will be offered a full refund or a transfer to a future retreat date. We are not responsible for any travel costs (flights, visas, etc.) incurred by guests as a result of such cancellation.

2. Travel and Arrival

2.1 As most guests travel internationally to attend, please do not book non-refundable flights until your place on the retreat is confirmed in writing.

2.2 You are responsible for arranging your own travel to and from Nice Airport, and for ensuring you hold valid passport, visa, and any other documentation required to enter France and the wider Schengen area.

2.3 Suggested arrival and departure times will be provided closer to the retreat date. Early arrival or late departure accommodation, if required, is at your own cost and subject to availability.

2.4 We are not responsible for missed flights, delays, strikes, lost luggage, or other travel disruption. Guests are encouraged to build buffer time into their travel plans.

3. Health and Wellbeing

3.1 By booking, you confirm that you are in good physical and mental health and able to participate in the retreat activities, including meditation and any associated practices.

3.2 Please inform us at the time of booking of any medical conditions, allergies, dietary requirements, or mental health considerations that may be relevant to your participation.

3.3 This retreat is not a substitute for medical or psychological treatment. If you are currently receiving treatment for a mental health condition, please consult your healthcare provider before attending and ensure you have their support to do so.

3.4 Participation in all sessions and activities is voluntary. You may opt out of any activity at any time.

3.5 We reserve the right to ask a guest to leave the retreat, without refund, if their behaviour is disruptive, unsafe, or inconsistent with the spirit of the retreat.

4. Accommodation and Facilities

4.1 Accommodation details (room type, sharing arrangements, etc.) will be confirmed at the time of booking.

4.2 We will make every reasonable effort to provide the facilities described in our promotional materials, but minor changes (e.g. substitute venue rooms, schedule adjustments) may occasionally be necessary and do not entitle guests to compensation.

4.3 Guests are responsible for any damage caused to the venue or its property during their stay.

5. Liability

5.1 To the fullest extent permitted by law, Villa Callian accepts no liability for any injury, illness, loss, or damage incurred during the retreat, except where caused by our negligence.

5.2 Guests participate in all activities at their own risk and are responsible for their own personal belongings.

5.3 Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under French or applicable law.

6. Photography and Media

6.1 We may take photographs or video during the retreat for promotional purposes. If you do not wish to be photographed or filmed, please let us know in writing before the retreat begins.

7. Data Protection

7.1 Any personal information you provide will be used solely to administer your booking and will be handled in accordance with applicable data protection law (including GDPR). We will not share your data with third parties except as necessary to deliver the retreat (e.g. venue, insurer).

8. Governing Law

8.1 These Terms and Conditions are governed by French law. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of the Var region.
